How do I pay for services?
To keep billing simple and organized, all invoices are sent directly from The Organized Real Estate Agent after the transaction officially closes and funds. Payments are made securely online through our payment portal. This provides accurate reporting and allows you to review invoices, payment history, and statements anytime.
Can the fee come out of my commission?
Some brokerages do allow a TC fee to be included on the Commission Disbursement Authorization, but because not all systems handle this consistently, The Organized Real Estate Agent bills agents directly. This prevents delays and ensures clean, efficient bookkeeping for everyone.
Are you licensed?
Yes — The Organized Real Estate Agent, Transaction Coordination Services is owned and operated by a Missouri and Kansas licensed Realtor®, fully familiar with Heartland MLS rules, state requirements, and brokerage compliance expectations. You’re supported by someone who understands the full real estate transaction process — not just the paperwork.
What happens if a file cancels?
There is no cancellation fee.
When a cancellation or mutual release is signed, we distribute copies to all parties, notify title, and ensure the correct documents are provided. If your brokerage still requires a compliance submission, we can help finalize and organize that as well.
Will my TC use a branded email signature?
Absolutely. Your TC email signature will always identify us as:
“Transaction Coordinator for (Agent Name / Team Name)”
If you have a branded team signature or specific formatting you’d like used, we’re happy to match it.
How is Transaction Coordination different from Administrative Services?
Transaction Coordination Services focus on contract management — deadlines, documents, communication, compliance, and coordination from contract to close.
Administrative Services support the marketing and operational side of your business, including:
Client follow-ups
CRM tasks
Social media support
Mailers & print collateral
General administrative tasks
Both roles support different parts of your business — and when combined, they create a streamlined, efficient workflow.
Do you offer pre-listing help?
Yes — The Organized Real Estate Agent offers comprehensive Pre-Listing Services, which may include:
Listing file setup
Seller disclosures & compliance forms
MLS-ready details input
Photography/media scheduling
Pre-inspections coordination
Listing remarks writing
Document organization
Pre-listing checklists & timeline planning
Choose only the items you need — we adapt to your workflow and listing style.
Do you offer administrative or marketing support?
Yes. The Organized Real Estate Agent provides optional real estate administrative and design support, billed at an hourly rate. Examples include:
Buyer & seller guides
Listing/buyer packets
Flyers, postcards, and print collateral
Open house materials
Just listed / under contract / just sold templates
Holiday & client graphics
Farming and neighborhood materials
This is ideal for agents who want professional materials without hiring a full-time marketing assistant.
Can you take over a file that’s already started?
Absolutely. Whether the file is brand new or halfway to closing, we can step in to organize, update, and manage everything moving forward. We’ll assess what has been completed and create a smooth plan to finish the transaction.
Do you communicate with clients directly?
Yes — The Organized Real Estate Agent communicates professionally with all parties involved, including buyers, sellers, co-op agents, lenders, title/escrow, inspectors, and clients. Our communication remains clear, timely, and supportive to ensure a smooth experience from start to finish.
